How NOT to Write a Resume

You can learn a lot about how to do something right by first learning what NOT to do.
Take resumes, for example.
I review about 200-300 a month, and most have at least 2-3 mistakes. Yet, all those hundreds of mistakes can be grouped into just a handful of categories, which you would do well to avoid.
Read on and learn how to write a better resume by avoiding the mistakes of others, some of them unintentionally hilarious ...
Mistake #1: "Golden Retriever Syndrome"
Never talk about yourself in terms that could also describe a hunting dog, like the following language, which appears in far too many resumes I see:
"Hard-working, self-motivated and dependable individual."
Tired phrases like that mean nothing to employers, because they could apply to almost anyone ... or almost anyone's dog.

Instead, dump the empty assertions and back up the claims in your resume with facts, like this:
"Proven sales skills. Ranked in top 3 among 78 reps for 5 straight years, exceeding sales quotas for 18 of 20 quarters."
See the difference?
Mistake #2: A Verbal Jungle
To improve your resume (or anything you write), read it out loud. Since writing is just words on paper, reading it aloud will help you write as you would speak.
Here's an example of language so dense, you'll need a machete to find any meaning:
"Directed assembly of elements from business units in engineering, development, program management, distribution, and legal to effect market research, proposal responses, and contract management into comprehensive, virtual, successful teams ..."
After reading that three times, I'm still baffled.
Worse, do you think employers have time to read a resume three times to figure it out? No. As a result, that job seeker is still looking for work, I'll wager.
Solution: read your resume out loud before sending it out.
If you find yourself gasping for breath halfway through a sentence, stick a period or dash in there and break it in two.
And if anything you write sounds less than 100% clear when you read it aloud, revise until it would make sense to your mother. Doing so will ensure that your resume resonates with readers at all levels, from HR managers to your future boss.

Standing Out From the Crowd

Standing out from the other job seekers must begin with your resume, cover letter and the tactics you use. The better job seekers have two-to-five resumes that they selectively send to employers, depending on the type of job they are applying for. Instead of only having one resume, as the average job seeker does, I strongly encourage you to have a base resume for each type of position you apply to. The way to stand out is to make slight changes to both the cover letter and resume to target each job you apply for Changes made are mostly wording, however it might include adding truthful information about you that is not typically needed for some jobs, or removing items that are not needed for other jobs. >job vacancy indonesia
Getting to this point requires research on the company, its goals and philosophies, and then determining how you can help the company maintain and exceed those goals.

1. Take your generic resume for the type of position you are interested in applying for and compare it to the job ad or description.
2. Ask yourself the following questions:
• Are you showing in a concise manner all or as many of the relevant requirements that you possess?
• Every job ad has specific key words. What key words from the job ad are you using to start your bullets with?

3. Research the company, taking time to investigate their hiring processes (when possible), the company goals, and their competitors. By doing this, you can learn much about the company and you can demonstrate your research in the cover letter, as well as the resume. This can be done as follows:
• Read the company website, specifically the press releases (or news) and any profiles of senior management (however, do not limit your search to this).
• Also try search engines such as google.com, and look at the links about the company.
• Visit free financial sites such as at hoovers.com and yahoo.com's financials section. These sites show you how well the company is doing, who thei r competition is, and also provide news links and website links.

4. After doing the research, ask yourself this question: “Does my resume and/or cover letter show how beneficial I would be to this particular company and its specific goals?” If the answer is no, then you need to include additional items that will help you stand out among the other applicants and close the deal.
The biggest decisions are those made at the start of your job search, as it then becomes an upward or downward spiral. If you are struggling to match your skills and qualifications to the job ad, then perhaps you need to examine your process of finding a position that is right for you.
Failure to do so, even if you somehow land the job, can result in starting over again in a year or less.
Being confident with matching your cover letter and resume to the position and company will bring the much-needed confidence when you are granted the interview! >employee

Writing Job Descriptions

A good job description begins with a careful analysis of the important facts about a job--such as the individual tasks involved, the methods used to complete the tasks, the purpose and responsibilities of the job, the relationship of the job to other jobs, and the qualifications needed for the job.
It's important when writing job descriptions, to create a vision that is dynamic,functional and current. Don't get stuck with an inflexible job description!
Apoor job description will keep you and your employees from trying anything newand learning how to perform their job more productively. A well-written,practical job description will help you avoid hearing a refusal to carry out arelevant assignment because "it isn't in my job description."
Realistically speaking, many jobs are subject to change, due either topersonal growth, organizational development and/or the evolution of newtechnologies. Flexible job descriptions will encourage your employees to growwithin their positions and learn how to make larger contributions to yourcompany.
For example: Is your office manager stuck "routinely orderingoffice supplies for the company and keeping the storage closet well stocked" or is she/he "developing and implementing a system of orderingoffice supplies that promotes cost savings and efficiency within theorganization?"
When writing job descriptions, keep in mind that the job description willserve as a major basis for outlining job training or conducting future jobevaluations. 


Writing Job Descriptions - each job description should include a:
  • Job Title
  • Job Objective or Overall Purpose Statement - This statement is generally a summary designed to orient the reader to the general nature, level, purpose and objective of the job. The summary should describe the broad function and scope of the position and be no longer than three to four sentences.
  • List of Duties or Tasks Performed - The list contains an item by item list of principal duties, continuing responsibilities and accountability of the occupant of the position. The list should contain each and every essential job duty or responsibility that is critical to the successful performance of the job. The list should begin with the most important functional and relational responsibilities and continue down in order of significance. Each duty or responsibility that comprises at least five percent of the incumbent's time should be included in the list.
  • Description of the Relationships and Roles the occupant of the position holds within the company, including any supervisory positions, subordinating roles and/or other working relationships.
When writing job descriptions for recruiting situations, you may also want toattach the following:  

  • Job Specifications, Standards and Requirements - the minimum qualifications needed to perform the essential functions of the job such as education, experience, knowledge and skills. Any critical skills and expertise needed for the job should be included. For example, for a receptionist, critical skills may be having 1) a professional and courteous telephone manner, 2) legible hand-writing if messages are to be taken 3) the ability to handle a multiple-lined phone system for a number of staff members and 4) the patience and endurance to sit behind a desk all day.
  • Job Location - where the work will be performed
  • Equipment to be used in the performance of the job. For example, does your company's computers run in a Apple MacIntosh or PC Windows environment?
  • Collective Bargaining Agreements - agreements and terms that relate to job functions, if applicable, such as when your company's employees are members of a union.
  • Non-Essential Functions - functions which are not essential to the position or any marginal tasks performed by the incumbent of the position.
  • Salary Range - range of pay for the position.
When writing job descriptions, keep each statement in the job description crisp and clear.
  • Structure your sentences in classic verb/object and explanatory phrases. Since the occupant of the job is your sentences' implied subject, it may be eliminated. For example, a sentence pertaining to the description of a receptionist position might read: "Greets office visitors and personnel in a friendly and sincere manner."
  • Always use the present tense of verbs when writing job descriptions
  • If necessary, use explanatory phrases telling why, how, where or how often to add meaning and clarity. For example: "Collects all employee time-sheets on a bi-weekly basis for payroll purposes."
  • Omit any unnecessary articles such as "a", "an", "the" or other words for an easy to understand, straight to the point definition when writing job descriptions. Using the above example, the statement could have read, "Greets all visitors and the office personnel to the building in a friendly and a sincere manner."
  • Use un-biased terminology. For example: use the "he/she" approach or construct sentences in such as way that gender pronouns are not required.
Avoid using words which are subject to differing interpretations. Try not to use words such as "frequently," "some," "complex," "occasional," and "several."
